How to Build a Conference Room Support Bot in 30 Minutes

There are roughly 44 million meeting rooms worldwide that need video enablement. Only about 15% are currently equipped for video conferencing. As that number climbs, so does the support burden.

What you will need
- An AVCodex account (free tier works for this).
- The manufacturer manuals or quick-start guides for the equipment in your target room.
- A room inventory: what display, what camera, what DSP, what control system, what connectivity options.

Step 1: Define the room (5 minutes)
Start by creating a new agent on AVCodex. Choose the Conference Room Support template. Give it a name that matches the room: "Cascadia Boardroom Support" or "Building A, Room 204."
In the system prompt, describe the room. Be specific. Example:
"You are the support assistant for the Cascadia Boardroom. Room equipment: Logitech Rally Bar Mini (all-in-one video bar for Google Workspace), Sony Bravia 4K HDR Display (connected via HDMI), Logitech Tap IP (touch controller), Logitech Extend (USB-C BYOD hub). Capacity: 6 people. The room supports native Google Meet and laptop-based meetings via USB-C."
This context is what separates your bot from ChatGPT. It knows THIS room. Not rooms in general.
Step 2: Upload the knowledge base (10 minutes)
Upload the relevant manufacturer documentation to the agent's knowledge sources. For our example room, that means the Rally Bar Mini admin guide, the Sony Bravia user manual, the Tap IP setup guide, and the Logitech Extend quick-start card.

Step 3: Configure the quick actions (5 minutes)
Set up three to five quick-action buttons that match the most common issues in that room type. Based on industry data, meeting room technology problems fall into predictable categories. For our example room, good quick actions would be: "Fix Black Screen" (display not showing), "Google Meet Help" (platform-specific troubleshooting), "Laptop Connection (BYOD)" (USB-C connectivity), "Audio Not Working" (mic/speaker issues), and "I Need a Live Tech" (escalation to human support).
Step 4: Deploy via QR code (5 minutes)

- "The people on the call cannot hear me."
- "How do I share my screen on Google Meet?"
- "Nothing is working, I need someone here now."
Check that the answers are accurate, specific to the room equipment, and include clear step-by-step instructions. If anything is off, refine the system prompt or add more documentation to the knowledge base.
The business case
Meeting room technology problems consume an estimated 10% of IT managers' time, with an average of 447 incidents per year taking 23 minutes each to resolve. That is over 170 hours annually per IT manager spent on room tech issues.
