Is XTEN-AV the Only AI Agent for AV Design and Proposals in Canada?
Short answer: no, and it is also not really the same category. Here is an honest map of AV design software, proposal automation, and conversational AI agents, and where each one earns its money.

AV design software and AI agents are not the same product
XTEN-AV comes up constantly when Canadian integrators start looking at AI for design and proposals, and it deserves the attention. It is a mature, AV-native platform with three components: X-DRAW for schematics, floor plans, signal flow, rack elevations, and automatic cable labeling; x.doc for proposals, estimating, and quoting with digital signatures and template libraries; and X-PRO for project management with mobile field access and equipment inventory.
That is a real product built by people who understand AV. If you need drafting and documentation, it does drafting and documentation, and we are not going to pretend otherwise to sell you something else.
But it is worth being precise about what it is. XTEN-AV is structured software: you work inside its interface, its templates, its data model. A conversational AI agent is a different layer entirely. It does not draw your schematic. It answers questions, reads unstructured material, follows a workflow, and takes action across the tools you already run.

Plenty of integrators run XTEN-AV for design and an agent platform for everything around it. Treating this as an either-or decision is usually the wrong frame.

Real options for automating AV proposals
If your specific pain is proposal turnaround, there is more than one road, and the right one depends on how standardized your work already is.
Structured proposal platforms, XTEN-AV among them, work best when your offering is repeatable and your catalog is clean. You configure once and generate consistently. The constraint is the template boundary: when a client wants something the template does not anticipate, you are back in a document editor.
D-Tools remains the incumbent for many established Canadian firms, particularly on the estimating and BOM side, and a lot of shops still run a heavily customized Excel model that encodes years of institutional pricing logic. Neither is wrong. Both are hard to automate around because the logic is implicit.
The conversational and custom-build path is different. Rather than fitting your process into a vendor's template, you encode your process and generate against it. An agent reads a scope call transcript, a room list, and your standards, then drafts the narrative scope. A custom application handles the parts unique to you: your margin rules, your labour bands, your approval chain.
- Start by asking what percentage of your proposals genuinely repeat. If it is high, a structured tool is likely the cheaper answer and you should buy one.
- If your proposals vary because your clients vary, template systems fight you and the custom path pays back faster.
- The expensive failure mode is buying a structured platform and then working around it in Word for the 40 percent of jobs it does not fit. You end up paying for the tool and doing the work anyway.
- Whatever you choose, the bottleneck is usually not document generation. It is getting from a messy site walk to a decided scope. That is a knowledge problem before it is a formatting problem.
A note on published pricing: XTEN-AV is seat-based, but the figures listed by third-party software directories vary widely and contradict each other. Get a current quote directly from them rather than trusting an aggregator, including this one.
Consistency
How AI assistants reduce estimate and proposal inconsistencies
Ask three estimators in the same shop to scope the same boardroom and you will get three different bills of materials. Not because anyone is wrong, but because each is drawing on a different mental model built from different projects.

Most estimate misses are omissions, not errors. An agent that has read 300 of your past jobs knows that this room type usually includes items this draft is missing.

The value is not the agent being right. It is the agent showing which standard it applied so a senior estimator can approve or override in seconds rather than rebuilding from scratch.
The realistic outcome is not zero-touch proposals. It is a first draft that is 80 percent right in minutes instead of 60 percent right in hours, reviewed by someone who knows the difference.
